Privacy Notice
- Introduction
Alcester Town Council (‘the Council’) is committed to protecting your personal data and being transparent about how it is used. This Privacy Notice explains how the Council collects, uses, stores and shares personal data, and outlines your rights under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Data (Use and Access) Act 2026. This notice should be read alongside the Council’s Privacy Policy and Data Protection Policy.

The Council is the Data Controller. The Town Clerk is the Council’s data protection lead.
- Personal data we collect
We collect information directly from you when you contact us, use Council services, submit forms, attend meetings or events, apply for employment or otherwise interact with the Council. We may also receive information from other public authorities where lawful.

- Councillor, employee and volunteer information
- Supplier and contractor information including financial details
- Attendance at Council meetings and consultations

- Lawful basis
Processing is carried out under one or more lawful bases in Article 6 UK GDPR including legal obligation, public task, contract and consent where appropriate.
- Special category data
Where necessary we process special category or criminal offence data only where an additional legal condition applies and appropriate safeguards are in place.
- Sharing
We share personal data only where lawful and necessary with public authorities, auditors, advisers, IT and payroll providers, regulators and emergency services.
- Retention
Personal data is retained only as long as necessary to fulfil the purposes for which it was collected and to comply with legal and regulatory obligations. Retention periods are set out in the Council’s Document Retention Policy.
- Security
Appropriate technical and organisational measures protect personal data.
- International transfers
The Council does not normally transfer personal data outside the United Kingdom. Where this becomes necessary, appropriate safeguards required by UK data protection law will be applied.
- Automated decision-making
The Council does not use automated decision-making or profiling that produces legal or similarly significant effects on individuals, and does not use artificial intelligence to make decisions about individuals without meaningful human involvement.
